The challenge
This company was winning plenty of website traffic but losing a chunk of it after hours. Questions about pricing, availability, and service areas came in at all times of day, and by the time someone replied the next morning, many prospects had already booked with a competitor. The team was small and already stretched, and could not justify a 24/7 support desk, but every slow reply was a missed job.
The approach
We started by reading a few months of real conversations to find the questions that actually came up, and how the owner liked to answer them. The goal was not a generic bot. It was an agent that sounded like the business, knew its services and service area, and knew exactly when to step back and bring in a human.
What we built
We deployed an AI customer support agent on the site that answers common questions in plain language, captures the visitor’s name, contact details, and the job they need, and books or routes the lead straight to the team. Anything outside its confidence threshold is handed to a person with the full conversation attached, so nothing gets lost and no one starts from scratch.
The results
- First responses dropped from hours, or the next morning, to under a minute, day or night
- The agent handled the bulk of repetitive questions on its own, freeing the team for real work
- More after-hours inquiries turned into booked jobs, because the conversation started while interest was high
It feels like we hired a front desk that never sleeps. Leads get answered the moment they come in, and we only get pulled in when it actually needs us.
